Position Summary

The Computer History Museum is seeking a dedicated and customer-focused Events Coordinator to join our team. This role is integral to delivering event experiences for both our external venue rental clients and internal museum stakeholders. The ideal candidate is organized, detail-oriented, and thrives in a dynamic, collaborative environment.

Overall, the Events Coordinator provides support and executes tasks for venue rental, internal programs, the CHM programs and lectures series, and other special events.

Responsibilities

  • Conduct site visits with potential venue rental clients.
  • Generate sales agreements for small- to medium-size client events.
  • Draft floor schematics for event set-up and ensure event-related details are planned and executed well.
  • Serve as onsite contact for clients during venue rental events and maintain hands-on event supervision to ensure the client’s needs are met
  • Communicate and collaborate with the Facilities Department to ensure client needs are met.
  • Use event management software (Planning Pod) as needed.
  • Assist venue rental team in maintaining client files, including generating rental agreements, sending invoices, and ensuring insurance requirements are received.
  • Maintain relationships with vendors, including catering, security, parking, and administrative support.
  • Assist with the execution of internal CHM events and programs, including education-related events, board meetings, and events for donors.
  • Attend weekly team meetings and other mandatory meetings as needed.
  • Collaborate effectively with staff members from across the Museum.
  • Support the Museum Front of House team with tasks as needed, including customer service, ticketing, and retail store support.

Qualifications and Skills

Background, Experience, Skills, and Education

  • Experience in event planning, coordination, and execution.
  • Formal education in hospitality management or other related subject preferred.
  • Some college courses or equivalent work experience preferred.
  • Excellent customer service skills.
  • Ability to handle assignments simultaneously and meet deadlines in a fast-paced environment.
  • Able to prioritize tasks and work both independently and as part of a team.
  • Exceptional organizational, time management, and interpersonal communication skills (both oral and written).
  • Ability to represent the Museum to clients with a high degree of professionalism and poise.
  • Attention to detail.
  • Fluency in Microsoft Office Suite.
  • Must be able to work evenings and weekends.

Salary range: $28-$30 an hour
